HighLevel Automation and Integrations Specialist

A women-owned and women-led marketing agency built on the HighLevel (GoHighLevel) platform is seeking a skilled HighLevel Automation and Integrations Specialist to join its operations team. The agency manages a growing portfolio of client sub-accounts across real estate, mortgage, home services, moving companies, and other industries. This is a technical operations role that goes well beyond executing predefined tasks. The right candidate can take a business process or desired outcome, ask the right discovery questions, identify the triggers, conditions, data requirements, integrations, dependencies, and edge cases, and translate all of that into a clear technical specification and build plan. From there, they build it — in HighLevel and across connected platforms — and document it clearly enough that the delivery team can maintain it. You will work directly with the Director of Operations and a Philippines-based delivery team. Clear documentation is not optional here; it is a core deliverable. What This Role Requires Above All Else The most important competency for this role is the ability to translate business logic into a buildable technical system. The right candidate does not need every workflow handed to them step by step. They start with the business goal, identify what is missing, and design the architecture that supports it. •      Asks the right discovery questions before beginning any build •      Maps business processes into triggers, conditions, branches, actions, waits, exit criteria, data requirements, and integrations •      Identifies missing information, dependencies, conflicting requirements, edge cases, and failure points before implementation begins •      Defines what data must exist, where it comes from, how it is stored, and how records are matched or deduplicated •      Creates a clear technical specification and build plan that another team member can understand, test, and maintain •      Recommends the simplest reliable solution rather than defaulting to the most complex tool •      Plans for testing, error handling, monitoring, and handoff, not only the expected path Core Technical Skills HighLevel / GoHighLevel / LeadConnector •      Minimum 2 years of hands-on experience at the agency level, not only inside a single business account •      Workflows, triggers, pipelines, opportunities, custom fields, custom values, and tags •      Snapshots, sub-account management, user roles, and SaaS versus standard sub-account configurations •      Email builder, templates, and Handlebars or custom value logic, including known limitations and workarounds •      Forms, surveys, funnels and websites, calendars, and domain connection •      Experience with HighLevel AI features (AI Studio, Conversation AI) is a strong plus APIs and Integrations •      Reads API documentation and builds integrations from it independently •      REST APIs, authentication (API keys, OAuth), webhooks (inbound and outbound), JSON payloads, pagination, and rate limits •      HighLevel / LeadConnector API (v2) •      Designs integrations that prevent duplicate records, including storing external IDs in custom fields and upserting •      Advanced Zapier and Make (Integromat): multi-step scenarios, webhooks, filters, paths, and error handling •      Knows when no-code tools are sufficient and when a custom script or small service is the better choice Scripting and Automation •      Working proficiency in Python and/or JavaScript (Node.js) •      Data transformation: CSV and JSON processing, deduplication, mapping, and enrichment •      Experience with Google Sheets / Drive APIs and the Asana API •      Strong habits around credential security, version control (Git), and documented code AI Tools and Model Context Protocol (MCP) •      Understands MCP: can set up and configure MCP servers and connectors, and ideally build simple ones •      Uses AI assistants (Claude, ChatGPT) and AI agents for real operations work such as bulk updates, audits, reporting, and data processing •      Verifies AI output rather than accepting it without review Email and Deliverability Infrastructure •      DNS fundamentals: A, CNAME, TXT, and MX records, plus SPF, DKIM, and DMARC •      Experience with Mailgun or similar sending services, subdomain strategy, bounces, and suppression lists •      Familiarity with GoDaddy and Cloudflare DNS management •      A2P 10DLC registration and SMS compliance knowledge is a plus Tools Used Daily •      HighLevel — advanced (primary platform) •      Zapier — advanced •      Claude — proficient, including connectors, MCP, and agent-style work •      ChatGPT — proficient •      Google Sheets — advanced: formulas, lookups, data imports; Apps Script is a plus •      Google Docs — proficient, for specifications, SOPs, and documentation •      Smartsheet — proficient: sheets, automations, and reports •      Asana — proficient: projects, tasks, and ideally automation and API •      Slack — daily communication and integrations •      Canva — working knowledge for quick graphics and email or landing page assets Working Style •      Systems thinker: builds solutions once as reusable patterns across many client accounts, rather than one-off fixes •      Strong documenter: writes clear specifications, SOPs, diagrams, and handoff notes so the delivery team can run and maintain what has been built •      Practical: can ship a temporary workaround to keep a client launch on track while the full solution is being built •      Clear communicator: explains technical issues and trade-offs in plain language to non-technical teammates and clients •      Self-directed: works independently across time zones, manages a task queue in Asana, and surfaces blockers before they become delays Qualifications Required •      Minimum 2 years of hands-on HighLevel experience at the agency level •      Demonstrated ability to translate business processes into technical build plans, not only execute tasks •      Strong written and verbal English communication skills •      Experience documenting integrations and automations clearly for team handoff •      Reliable high-speed internet connection and a professional, quiet home workspace Nice to Have •      Prior experience at a marketing agency or with real estate or mortgage clients •      HighLevel certification or white-label and SaaS mode experience •      Experience with Follow Up Boss, field-service software, or other industry CRM platforms •      Basic HTML and CSS for email templates and landing pages Requirements This is a full time role Up to $10/hr 100% Remote
