The role:
Great hiring depends on thoughtful coordination, reliable systems, and clear processes. As a Recruiting Operations Specialist, you'll own the day-to-day workflows that keep hiring moving at CookUnity, from interview scheduling and reference-check coordination to recruiting systems, data, and reporting.
Reporting to the Senior Manager of Talent Acquisition, you'll partner with recruiters, hiring managers, and People Operations across regions. You'll balance hands-on execution with practical improvements that reduce manual work, strengthen data quality, and create a smooth experience for candidates and hiring teams. This is an opportunity for someone who enjoys both getting the details right and finding better ways to work.
Responsibilities:
- Own interview scheduling and logistics across departments and time zones, including executive interviews, case presentations, rescheduling, preparation materials, and timely candidate communication.
- Manage the reference-check workflow, from collecting contact details and coordinating outreach, calls, and forms to tracking completion and documenting feedback in partnership with recruiters.
- Manage recruiting administration, including requisition setup, job postings, approval tracking, offer documentation, and handoffs to People Operations.
- Own day-to-day administration of Greenhouse ATS and support related recruiting tools, maintaining interview plans, scorecards, templates, and permissions, and troubleshooting issues.
- Keep recruiting data accurate and consistent through regular audits, clear standards, and timely resolution of data-quality issues.
- Maintain recurring pipeline and CRM reports, surface bottlenecks and missing feedback, and turn findings into practical recommendations.
- Improve workflows and handoffs, and use automation and AI thoughtfully to reduce repetitive work, testing changes and reviewing outputs carefully.
- Create clear documentation and training materials, help hiring teams adopt consistent processes, and partner on cross-functional operational improvements.
- Handle sensitive candidate and employee information with discretion and in accordance with applicable data-protection requirements.
Requirements:
- 4+ years of experience in recruiting operations or coordination, with demonstrated ownership of workflows and process improvements in a fast-paced environment.
- Experience supporting multiple recruiters and managing complex interview schedules across teams and time zones.
- Strong hands-on ATS experience, including workflow configuration, data management, and reporting; Greenhouse experience is strongly preferred.
- Strong spreadsheet and reporting skills, with the ability to spot inconsistencies, identify patterns, and explain what the data means.
- A track record of improving processes, documenting workflows, and helping stakeholders adopt new ways of working.
- Excellent organization, attention to detail, and follow-through, with the judgment to prioritize competing requests and resolve issues independently.
- Excellent written and verbal communication skills in English and Spanish, and a thoughtful approach to candidate and stakeholder relationships.
- Comfort with hands-on administrative work, curiosity about automation and AI, and discretion when handling confidential information.
Nice to have:
- Experience with Gem or recruiting CRM workflows, LinkedIn Recruiter, Canditech, or scheduling platforms.
- Experience building dashboards or recurring reports in Google Sheets or business-intelligence tools.
- Practical experience with no-code automation, system integrations, or AI-assisted workflows.
- Experience in a startup or scaleup with a lean, global Talent Acquisition team.
